If you’re looking for a phone system that saves money or gives flexibility, VoIP systems are worth considering. It stands for “voice over internet protocol”. They differ from traditional phone systems by using computer or smartphone apps instead of a hardlined phone.

It works similarly to apps like Skype and Zoom, you communicate over the internet instead of phone lines. However, VoIP apps focus on phone-centric functions. In VoIP apps, you can set up phone numbers, extensions, conference calls, and transfer calls desk to desk like you would with a usual business phone system. When you have a phone “built in” to your PC, you open your softphone app and dial the number you’re calling. When the call reaches its recipient, caller ID will show the number you’ve set up. It won’t look like a robo-call. If your contact has your number saved, they will see your contact name.

Furthermore, when you’re using a softphone app, you have flexibility for working remotely. You don’t need to be in your office to watch the phone. The VoIP system will route calls to your computer or mobile phone as long as you have internet access.

If several team members are working remotely on a VoIP system, they will all be available to answer the virtual office phone. Each user will get notifications for incoming calls so calls won’t be missed during meetings or breaks.

If you aren’t a customer, there are dedicated softphone apps like Bria and Zoiper. You can either use trial versions or even free versions with limited features.
